How to manage peak times at your restaurant

The ForStars team 2 min read

The way to manage peak times is to control how many guests arrive at once, not only how many you seat in the evening. Limit the covers that can book for each time slot, spread arrivals across the evening, keep some capacity for walk-ins and late changes, and pause online booking for a slot when it’s full. A room that fills gradually runs better than one where thirty covers order at 7:30.

Why peaks go wrong

Most bad Saturday nights aren’t caused by too many guests overall. They’re caused by too many arriving together:

  • everyone books 7:30pm because it’s the default;
  • the kitchen gets every order in the same ten minutes;
  • tables turn late and the 9pm bookings wait.

Limit covers per slot

Instead of only limiting tables, limit how many guests can book for each 15 or 30-minute slot. For example, a 60-cover room might allow 16 covers at 7pm, 16 at 7:30pm, and so on. Online booking then offers the next free slot when one fills.

Spread arrivals

  • Offer earlier and later times attractively: “Tables at 6pm and 9pm are easier to get on Saturdays.”
  • Stagger large tables, so two parties of eight don’t sit down at once.
  • Use two sittings on the busiest nights if your menu allows it.

Keep some slack

Watch the night as it happens

During service, the host should see at a glance:

  • how full the room is now and in the next hour;
  • which tables are about to free up;
  • which bookings are late.

Occupancy information lets the team decide whether to seat a walk-in now or hold the table.

Protect peak nights from no-shows

An empty table on a Saturday at 8pm is the most expensive kind. Peak nights are where a card on file or a deposit makes the biggest difference. See how to reduce no-shows.

Look back each week

After each weekend, check what happened: when did the kitchen get overloaded, which slots had a queue, which sat empty? Adjust the covers per slot the next week.

How ForStars fits

ForStars has occupancy alerts that warn the team before a slot overfills, and peak auto-blocks that pause online booking for a busy slot on their own. Website bookings, phone bookings and walk-ins all show on one live floor plan. See features.

Questions owners ask

How many covers should I allow per slot?

Start with what your kitchen can comfortably send in 15 minutes, then adjust after a few busy nights.

Should I stop taking online bookings on busy nights?

No. Let online booking close individual slots when they fill, and keep the rest of the evening open.
